Photo capture planning for a community open house

For a community open house, plan for guests arriving throughout the event rather than one formal reception. Keep instructions visible, make participation optional and confirm the approach to families and minors with the organizer before opening.
Fit an informal guest journey
Place the experience where people can discover it without blocking entry or information tables. Show the takeaway and explain whether prints, digital delivery or both are included. Give families time to organize a group without making assumptions about who may authorize image use.
Ask the provider and organizer to agree on any required participant permissions. Give staff the approved wording and an escalation route for questions.
Keep the setup maintainable
Open-house attendance may rise and fall. Assign coverage for staff breaks and make supply checks part of the run sheet. A quiet period is a chance to reset the area before another group arrives.
Prepare the attendant brief, including what to say when someone wants to watch or pass by without being photographed.
Write a family-friendly participation route
Map see the offer → understand the takeaway → choose to participate → form a group → receive the output. Give households room to organize without standing in the camera area until ready.
Put the event’s approved permission and minor-participation instructions in staff notes. Do not ask the attendant to infer authority from who happens to stand nearest a child.
Keep a route past the station for people who only want to visit the open house. A visible photo destination works better when it is an invitation rather than a bottleneck. If many guests arrive in short neighborhood waves, use those pauses to reset prints and supplies before the next group approaches.
