How to handle print copies for groups at a photo booth

Decide the number of print copies per group before the event opens. One photo session can involve several people, and they may all expect a takeaway. The attendant should have a clear policy instead of negotiating copies while the next group waits.

Put the policy into the quote

Separate the initial group-copy allowance from optional extra copies and their price treatment in the scope. Use realistic group sizes when estimating demand. Total captures alone will not tell you how many prints guests request.

Choose who tells the operator the copy count and when. Collecting that answer before printing reduces confusion, especially when groups split up immediately after posing.

Separate pickup from capture

Give finished groups a place to collect prints without standing in the camera area. Ask the provider how the correct prints are matched to the group. Keep a plan for guests who return later asking for another copy.

Review print quantities before publishing “a print for everyone” in invitations or signage. Promise the guest benefit that the confirmed package can actually supply.

Give the attendant an exact copy question

Ask, “How many copies does your group need under today’s print arrangement?” before the group leaves capture. Record the number through the chosen operating workflow, then route the group to collection.

Do not assume four faces means four copies. Some groups share one takeaway; others want individual copies. The operational requirement comes from the agreed guest promise and their request.

A simple policy can distinguish included initial copies, correction reprints, and optional extras. Keep those categories visible in staff notes. If a sponsor pays for a copy per participant, make that commitment explicit before the event so staff do not apply a one-print-per-session rule by mistake.
