Photo booth load-in: the details to confirm before arrival

Updated October 31, 2026

Confirm the loading route before the crew arrives. The guest entrance may not be the equipment entrance, and a loading dock may require an appointment. Share the route from the vehicle to the final booth position, not just the venue’s street address.

Walk the route with the equipment in mind

Tell the provider about stairs, elevators, narrow doors and long corridors. Ask whether the proposed cases and backdrop can use that route. Let the venue identify access restrictions and any building staff needed for loading.

Confirm where empty cases go after installation. Leaving them beside the booth can consume the space intended for guests or printer supplies.

Define arrival and acceptance separately

The crew’s arrival time is not the ready-by time. Allow for unloading, setup, testing and the event lead’s review. Assign someone who can resolve placement questions before guests enter.

For removal, confirm when the same route becomes available again. Add these instructions to the event-day contact sheet so the setup and collection crews receive the same information.

The access note a crew can use

Equipment delivery: [street entrance, not guest entrance]. Access contact: [name/phone]. Window: [start/end]. Route: [dock → elevator → room]. Restrictions: [stairs, appointment, escort]. Empty cases: [approved storage]. Ready-by inspection: [time/person].

If the path includes an elevator, resolve access and usable capacity before the vehicle arrives. The equipment cases and backdrop have to travel the whole route, not just fit through the ballroom door.

For a staffed rental, setup is part of the service; building access remains a coordinated venue dependency. Give the crew the approved route instead of assuming that “setup included” means it can bypass the building’s loading rules.
