How many photo booth hours should you book?

Book photo booth hours around the moments guests can participate. The room’s rental period, equipment access window and capture schedule are three different things. A booth can be installed before doors open without operating throughout every speech and meal.

Map participation windows

Mark arrival, reception, dinner, presentations and departure on the run of show. Identify when guests will be nearby and free to stop. A long quiet afternoon does little to relieve a short rush immediately after an awards presentation.

Share this schedule with the provider. Ask whether staffing can follow separate windows and whether leaving equipment in place between sessions changes the quote. Confirm access restrictions during any pause.

Set a closing rule

Decide whether the advertised finish time means the last guest joins the line or the final photo is taken. These produce different workloads. Give the attendant one event contact who can authorize extra time and its cost.

Before booking, settle:

  • Guest-facing start and finish times
  • Planned pauses and reopening checks
  • The last-entry rule and announcement
  • The venue’s separate removal deadline

Use the venue checklist to keep capture hours separate from installation and collection.

Put the schedule into one sentence

Use this brief line: “Ready for acceptance at [time]; open to guests [window]; paused [window]; last group joins [time]; collection complete by [time].” It separates the five deadlines people often compress into “the booth is here until ten.”

For a hypothetical reception with dinner between two social windows, reserve capture for arrivals and the after-dinner gathering rather than assuming guests will leave dinner to participate. If both windows remain busy, prioritize continuous staffing over a longer unattended installation.

Use the host’s final run of show as the schedule reference. A late speech should trigger one decision about reopening or extension, not separate guesses from the venue, attendant and DJ.
