How to report print and digital photo outputs separately

Report print and digital activity separately. They describe different parts of the guest handoff and may be counted in different ways. A combined “photos delivered” total can obscure what guests actually received or which evidence supports the claim.

Preserve the source definitions

Ask what the print figure includes: copies, test prints, reprints or another unit. For digital records, distinguish configured sends, successful delivery indicators and any available retrieval activity. Use only fields the proposed reporting setup actually provides.

Do not assume one digital record equals one unique participant or one print equals one session. Groups and duplicate requests can change the relationship.

Add operating context

Record the output options offered and the time window. If a printing interruption changed the experience, explain the affected period and agreed response. Keep unresolved requests visible to the event owner rather than hiding them inside totals.

Define counts before opening. A clear report helps the next booking choose outputs and allowances; an inflated combined number does not.

Reconcile by output, not by an invented grand total

Use columns for sessions, physical copies, digital delivery records, and available retrieval activity, with the report source beside each. Leave unavailable fields blank or explicitly unavailable.

For an illustrative group, one capture could generate several print copies and one or more digital actions. Adding those outputs does not produce a meaningful unique-audience number.

Separate service follow-up from performance totals. A pending print request belongs with its owner and resolution status, not hidden inside a corrected average. The organizer needs both a truthful event report and a completed guest handoff; neither document should obscure the other.
