How to approve a branded event photo print

Approve a physical proof when printed photos are part of your event. Screen previews cannot show the final size, paper appearance or how small a sponsor line will feel in a guest’s hand. Use the proposed print format and actual artwork.

Check the image area first

Confirm that the design leaves enough space for the planned group. Review different poses and head positions rather than a single perfectly centered sample. Decorative borders should not cover faces or remove important parts of the photo.

Read every word at normal viewing distance. Small event dates, sponsor names and calls to action often survive a design review at high zoom but become difficult on the final print.

Approve the whole handoff

Check whether guests receive loose prints, sleeves or another presentation, if included in the quote. Verify how multiple copies are identified and distributed. Decide who can authorize reprints at the event.

Save the approved proof with the final artwork version. If the sponsor changes a mark later, repeat the affected check. Plan the print allowance alongside design so quantity and presentation match.

Mark up the proof like a guest would use it

On the actual-size print, mark face area, event identity, sponsor recognition, and next action, if present. Every element must survive ordinary viewing without zooming. If the next action is unreadable, simplify it rather than shrinking the portrait further.

Then compare a single-person sample with a group. A logo that sits neatly beside one shoulder may cover someone else when the frame fills.

Keep a physical approved sample with the crew’s event materials or an accurately identified reference. At opening, compare the new print with that sample for layout, crop and legibility. The designer’s source file is not the only acceptance reference guests will experience.
