Set a photo booth reprint policy before guests arrive

Give the operator a reprint policy before the event starts. A damaged output, a requested extra copy and a lost print are different cases. Clear rules help guests get an answer while keeping the next session moving.
Separate corrections from extras.
Ask the provider what happens when the output is cropped incorrectly or physically unusable. Then decide how optional copies are handled and whether they count against the agreed allowance. Record any cost approval required.
Tell the attendant who can resolve exceptions. Avoid sending every guest to the organizer for a routine request, but do not imply that an unlimited number of extra copies is included.
Plan requests that arrive later
Confirm whether approved images can be found and reprinted during the event, and what happens after equipment leaves. Do not promise post-event printing without an agreed service arrangement.
Include the policy in operator notes rather than covering the guest-facing sign in fine print. A simple explanation at print pickup should match the package and preserve a useful guest handoff.
A three-case decision card
| Request | Operating decision |
|---|---|
| The physical output is unusable | Follow the agreed correction procedure |
| Another participant wants an initial copy | Apply the group-copy policy |
| A guest wants additional copies later | Apply the extra-copy allowance and approval rule |
This prevents “reprint” from hiding three different jobs. If the image itself is wrong, another physical copy will not fix it; the attendant may need a retake through the approved flow.
For each case, name who may approve the action and where it happens. Keep price exceptions with the budget-authorized event lead rather than negotiating them individually with waiting guests.
