What a photo activation actually costs
September 15, 2026
A useful quote needs the locations, dates, creative and operating plan. A monthly device rate covers only part of that work.
Price the full program
Two programs can use the same hardware and have very different budgets. A booth configured once for a year in one lobby needs a different plan from three hundred sites launching in waves, with new creative every six weeks, regional permissions and staffed flagship openings.
Ask for a quote that covers the full brief so you can compare vendors on the same scope.
What affects the cost
Locations. Specify how many sites are involved and whether they launch together or in waves. A staged rollout adds coordination but lets the team learn from early sites.
Duration. A weekend, a season and a permanent installation need different levels of setup and ongoing support.
Capture method. Capture on participants’ own phones avoids shipping and storing capture equipment. Booths, roaming kits and DSLR setups need an equipment plan.
Creative. Configuring an experience in the control panel is different work from commissioning custom treatments and branded delivery pages. Make clear who will build each part.
Staffing. Decide whether your team, your agency or the provider will set up and operate the experience. Include training and on-site coverage in the quote.
Program requirements. Include age gating, moderation, data handling and security review in the brief so the team can scope them before launch.
What to send with the brief
- How many locations
- The dates and rollout schedule
- What you want participants to receive
Then work through the equipment, creative and staffing with the provider.
What to check in a quote
Ask how central management affects the cost as locations are added. Check that reporting and support are included, and clarify which requirements could lead to additional work.
